Repository Header

The Repository Header is used to record key information for identification, retrieval and reporting within the Address Book and consists of nine (9) data elements as defined below.

 

 

Data Element

Description

Organisation/Surname

The formal name of the Repository or or where an individual is recorded as a Repository, their Surname or Family Name.
 

Other Name/s

A secondary name used to identify the Repository. It may be Division, Department or Section or where an individual is recorded as a Repository, their Given, Christian or Common Name.
 

Street/PO Box

The physical or postal location of the Repository.
 

Town/City

The Town, City or Suburb in which the Repository is located. When in edit mode a lookup button is displayed at the right of this field enabling selection from the Location Master file.
 

State

The State, County or Province within a country in which the Repository is located.
 

Postal Code

A value used to denote a postal region normally assigned by the postal authority within a country.
 

Country

The country in which the Repository is located.
 

Abbreviated Name

A short name used to identify the repository on reports and miscellaneous screens. Defaults to the first 40 characters of the Organisation/Surname field.
 

Type

Used to record a category representing Repository type.  A value may be selected from the drop down list or entered manually if an appropriate value is not listed.
 

Map Icon. Will launch Google Maps using  the nominated web browser displaying the location of the Repository according to the available location details.
